How it's worked out

  1. D, total gross pay = A (basic salary and cash allowances) + B (non-cash benefits) + C (value of quarters).
  2. E, pension: E1 is 30% of A, E2 is NSSF plus any voluntary pension actually paid, E3 is KES 30,000. Only the lowest of the three is allowed.
  3. F and G are the employee's housing levy (1.5%) and SHIF (2.75%, at least KES 300). H is post-retirement medical fund up to 15,000 and I is mortgage interest up to 30,000.
  4. J = the allowed pension + F + G + H + I, and K, chargeable pay = D − J.
  5. L, tax charged applies the monthly PAYE bands to K. M is personal relief (KES 2,400) and N is insurance relief (15% of premiums, up to 5,000).
  6. O, PAYE = L − M − N, never below zero. Months not worked are left blank, and each total is the sum of the monthly figures.

Questions people ask

What is a P9 form?

The P9A tax deduction card is the employer's yearly record of an employee's pay, allowable deductions and PAYE, month by month. The employer gives it to the employee after the year ends, and the employee uses the totals to file their iTax return.

Why does January 2026 show a different NSSF amount?

NSSF Year 4 limits (KES 9,000 and 108,000) took effect on 1 February 2026. January still used the Year 3 limits of 8,000 and 72,000, so NSSF was at most KES 4,320 that month instead of 6,480.

Where is NSSF on the P9?

In column E2, "Actual" defined contribution, together with any voluntary pension. The amount allowed is the lowest of E1 (30% of column A), E2 and E3 (KES 30,000 a month).

Is this an official KRA document?

No. It follows the KRA P9A layout so employers can issue it, but the employer is responsible for the figures and should sign and stamp it. If your payroll deducted different amounts, use Enter actual deductions so the card matches what was paid.

Why don't the totals match a calculation on annual tax bands?

PAYE is worked out each month on the monthly bands, and the card totals are the sums of those monthly figures. The monthly 25% band ends at KES 32,333, which is 387,996 over twelve months against 388,000 in the annual table, so an annual recalculation can differ by up to 20 cents.
